1. Introduction

ICG, carrying on business as Print-Tech and/or ICG, respects the privacy of its customers, prospective customers, website visitors, suppliers, and business contacts.

In this Privacy Policy, “Print-Tech,” “ICG,” “we,” “us,” and “our” refer to the business operating the website located at print-tech.net. “You” and “your” refer to the person whose personal information we collect, use, retain, or otherwise process.

This Privacy Policy explains:

  • What personal information we collect;
  • Why we collect it;
  • How we use and protect it;
  • When limited information may be provided to service providers;
  • How online payments are processed;
  • How we may communicate with existing clients;
  • How long information may be retained; and
  • How you may request access to or correction of your personal information.

This Privacy Policy applies to personal information collected through:

  • The website located at print-tech.net;
  • Website quotation and contact forms;
  • Artwork and document uploads;
  • Online payment pages;
  • Email, telephone, and in-person communications;
  • Quotations, proofs, orders, invoices, and purchase orders;
  • Shipping, delivery, mailing, and fulfilment activities; and
  • Other dealings between you and Print-Tech.

By providing personal information to Print-Tech, you acknowledge that it will be handled as described in this Privacy Policy, subject to applicable law.

2. Our privacy commitment

Print-Tech does not sell, rent, trade, license, or provide customer personal information to outside organizations for their own advertising, marketing, or data-broker purposes.

Print-Tech does not sell customer email lists or mailing lists.

Personal information is used only for legitimate business purposes connected with:

  • Responding to inquiries;
  • Providing quotations;
  • Preparing and producing orders;
  • Processing payments;
  • Delivering products;
  • Providing customer service;
  • Maintaining business and accounting records;
  • Protecting against fraud or misuse;
  • Complying with legal obligations; and
  • Communicating with existing clients where permitted by law.

Limited information may be processed by service providers acting on our behalf where this is reasonably necessary to operate the Website, process a payment, manufacture or finish an order, deliver products, maintain our systems, or comply with the law.

These service providers are not permitted to use customer information for their own independent marketing merely because they provide a service to Print-Tech.

3. What is personal information?

Personal information generally means information about an identifiable individual.

Depending on the circumstances, personal information may include:

  • A person’s name;
  • Home or personal mailing address;
  • Personal telephone number;
  • Personal email address;
  • Billing and delivery information;
  • Transaction and order history;
  • Communications with Print-Tech;
  • Information contained in uploaded artwork or documents;
  • Website usage and technical information; and
  • Other information that can reasonably be associated with an identifiable person.

Business contact information, such as a person’s name, position, company email address, company telephone number, and business address, may be treated differently under applicable privacy law when used solely for business communications. Print-Tech nevertheless handles this information responsibly.

4. Information we collect directly from you

4.1 Contact information

When you request a quotation, place an order, submit an inquiry, or contact Print-Tech, we may collect:

  • Your name;
  • Company or organization name;
  • Job title or department;
  • Telephone or mobile number;
  • Email address;
  • Fax number, where supplied;
  • Billing address;
  • Mailing or delivery address; and
  • Preferred method of communication.

4.2 Quotation and order information

We may collect information concerning the requested product or service, including:

  • Whether the request is for a new or repeat order;
  • Product type and description;
  • Quantity;
  • Finished size;
  • Number of pages or printed sides;
  • Paper, material, stock, colour, or coating requirements;
  • Binding and finishing requirements;
  • Turnaround requirements;
  • Pickup, delivery, mailing, or fulfilment instructions;
  • Special instructions;
  • Purchase-order information;
  • Quotation and invoice numbers;
  • Proof approvals;
  • Order history; and
  • Customer-service or defect claims.

4.3 Artwork and production files

You may provide files such as:

  • PDF documents;
  • Photographs;
  • Logos;
  • Illustrations;
  • Page layouts;
  • Word-processing files;
  • Design files;
  • Spreadsheets;
  • Mailing lists;
  • Variable-data files;
  • Labels;
  • Barcodes;
  • QR codes;
  • Names and addresses; and
  • Other artwork or reference material.

These files may contain personal information about you or other individuals.

Print-Tech uses customer files only to:

  • Review and quote the requested work;
  • Check production requirements;
  • Prepare proofs;
  • Print, finish, bind, package, mail, or deliver the order;
  • Correct production issues;
  • Produce authorized repeat orders; and
  • Maintain reasonable business records.

Print-Tech will not use customer artwork, mailing lists, recipient information, or production files to market to the individuals identified in those files.

Print-Tech will not place customer artwork in a public portfolio or promotional campaign without obtaining permission where permission is reasonably required.

4.4 Communications

We may retain information contained in:

  • Emails;
  • Telephone messages;
  • Contact-form submissions;
  • Written instructions;
  • Proof approvals;
  • Complaints;
  • Customer-service requests; and
  • Other communications concerning a quotation, order, payment, or business relationship.

Telephone calls are not recorded unless you are advised that recording will occur.

4.5 Billing and transaction information

We may collect or retain:

  • The customer or company name;
  • Billing address;
  • Invoice number;
  • Purchase-order number;
  • Transaction date;
  • Payment amount;
  • Payment status;
  • Payment method;
  • Moneris transaction or authorization reference;
  • Refund or adjustment information; and
  • Limited card information supplied by Moneris, such as card type or the final digits of the payment card, where applicable.

Print-Tech does not use payment information for marketing.

5. Credit and debit card information

Online credit and debit card payments are processed through Moneris.

When you make an online card payment:

  • Your card information is entered directly into the Moneris payment environment;
  • The full card number is not collected or stored on the Print-Tech website;
  • Print-Tech does not store the card security code or CVV;
  • Print-Tech does not store a debit card PIN;
  • Print-Tech does not receive your complete payment-card credentials; and
  • Moneris processes and protects the payment information according to its own security, privacy, and payment-processing requirements.

Print-Tech may receive limited transaction information from Moneris, such as:

  • Whether the transaction was approved or declined;
  • The payment amount;
  • The date and time of payment;
  • A transaction reference number;
  • The payment-card type; and
  • Masked card information, such as the final four digits, where supplied.

This limited information may be retained for order administration, refunds, fraud prevention, bookkeeping, dispute resolution, and legal compliance.

Customers must not send complete credit card numbers, security codes, or debit card PINs through ordinary email, artwork-upload forms, contact forms, or written production files.

6. Information collected automatically through the Website

When you visit the Website, the web server and supporting systems may automatically collect limited technical information, including:

  • Internet Protocol address;
  • Browser type and version;
  • Device type;
  • Operating system;
  • Date and time of access;
  • Pages requested;
  • Referring webpage;
  • General geographic region derived from an IP address;
  • Error and security logs; and
  • Information used to detect abuse, fraud, or malicious activity.

This information may be used to:

  • Operate and secure the Website;
  • Diagnose technical problems;
  • Prevent unauthorized access;
  • Investigate suspicious activity;
  • Understand general Website performance; and
  • Maintain system records.

Print-Tech does not use this information to create profiles for sale to advertisers.

7. Cookies and similar technologies

The Website may use cookies or similar technologies that are reasonably necessary to:

  • Allow Website pages and forms to function;
  • Maintain security;
  • Remember basic user preferences;
  • Prevent fraudulent or automated submissions;
  • Manage temporary Website sessions; and
  • understand general Website performance.

A cookie is a small data file stored on a browser or device.

You may configure your browser to refuse or delete cookies. Disabling necessary cookies may prevent certain Website functions, forms, or payment features from working correctly.

Print-Tech does not presently use cookies for the sale of personal information or for unrelated third-party behavioural advertising.

If Print-Tech later introduces advertising pixels, behavioural advertising, or a new analytics service that materially changes how personal information is handled, this Privacy Policy and any required consent notice will be updated.

Moneris and other external services may use their own necessary technologies when you interact with their systems. Their handling of information is governed by their respective policies.

8. Why we collect and use personal information

Print-Tech may collect and use personal information for the following purposes:

8.1 Responding to inquiries

To:

  • Respond to questions;
  • Provide information about products and services;
  • Assess project requirements;
  • Prepare a quotation; and
  • Follow up on an active quotation request.

8.2 Processing and producing orders

To:

  • Confirm specifications;
  • Review artwork;
  • Prepare proofs;
  • Obtain approvals;
  • Schedule production;
  • Print and finish products;
  • Package orders;
  • Coordinate specialized production services;
  • Prepare repeat orders; and
  • Maintain quality-control records.

8.3 Processing payments

To:

  • Submit or confirm payment through Moneris;
  • Match payments to orders and invoices;
  • Issue approved refunds or adjustments;
  • Prevent fraudulent transactions;
  • Respond to payment disputes; and
  • Maintain accounting records.

8.4 Pickup, delivery, and mailing

To:

  • Arrange pickup or delivery;
  • Prepare shipping labels;
  • Provide delivery updates;
  • Confirm delivery;
  • Submit properly authorized mailing projects;
  • Investigate missing or damaged shipments; and
  • Communicate with carriers or postal providers.

8.5 Customer service

To:

  • Respond to questions;
  • Investigate production concerns;
  • Process defect claims;
  • Arrange authorized replacements;
  • Resolve billing issues;
  • Respond to complaints; and
  • Maintain a history of the customer relationship.

8.6 Business administration

To:

  • Maintain accounting and taxation records;
  • Administer accounts receivable;
  • Verify purchase orders;
  • Manage supplier and customer relationships;
  • Maintain insurance and legal records;
  • Conduct internal reporting;
  • Protect Print-Tech’s legal rights; and
  • Comply with lawful obligations.

8.7 Security and fraud prevention

To:

  • Confirm customer or payment authorization;
  • Detect suspicious transactions;
  • Prevent misuse of the Website;
  • Protect customer information;
  • Investigate security incidents;
  • Enforce Website terms; and
  • Cooperate with payment processors or lawful authorities where required.

8.8 Marketing to existing clients

Print-Tech may, in the future, send relevant marketing communications to existing clients where consent exists or where an existing business relationship permits such communications under applicable law.

9. Consent

Print-Tech obtains consent in a manner appropriate to the circumstances and the sensitivity of the information.

Consent may be:

  • Expressly provided through a form, checkbox, written authorization, or oral agreement;
  • Implied from a customer’s request for a quotation or order;
  • Implied from an existing business relationship where permitted by law; or
  • Otherwise permitted or required by applicable law.

For example, when you provide an address for delivery, you consent to Print-Tech using the address and providing the necessary delivery information to the selected carrier.

Print-Tech will not require consent for a non-essential purpose, such as promotional marketing, as a condition of completing a printing order.

You may withdraw consent for an optional use at any time, subject to:

  • Legal requirements;
  • Contractual restrictions;
  • Reasonable notice;
  • Completed transactions;
  • Record-retention obligations; and
  • Information that remains necessary to provide a requested service.

Withdrawal of consent does not require Print-Tech to delete information that it must retain for accounting, taxation, fraud prevention, legal, or dispute-resolution purposes.

10. Information that should not be submitted

Unless Print-Tech has specifically requested it and appropriate arrangements have been made, please do not submit unnecessary sensitive information, including:

  • Complete credit or debit card details;
  • Card security codes;
  • Debit card PINs;
  • Online banking passwords;
  • Social Insurance Numbers;
  • Passport information;
  • Health or medical records;
  • Biometric information;
  • Account passwords; or
  • Other highly sensitive information unrelated to the requested printing service.

If customer artwork necessarily contains sensitive information, contact Print-Tech before uploading it so that an appropriate transfer method can be considered.

11. When information may be provided to service providers

Print-Tech does not sell or provide customer information to third parties for their own marketing.

Limited information may nevertheless be provided to carefully selected service providers where necessary to perform services for Print-Tech or complete a customer’s order.

These providers may include:

11.1 Moneris

Moneris processes payment-card transactions. Payment-card information entered into the Moneris payment environment remains within the Moneris payment system rather than being stored by Print-Tech.

11.2 Website, email, and information-technology providers

Providers may host, maintain, secure, back up, or support:

  • The Website;
  • Email services;
  • Business systems;
  • File-transfer systems;
  • Security systems; and
  • Electronic records.

11.3 Delivery, courier, and postal providers

Print-Tech may provide a recipient’s name, delivery address, telephone number, email address, package information, and delivery instructions where necessary to deliver or mail an order.

11.4 Production and finishing providers

Where a project requires specialized printing, bindery, coating, finishing, packaging, mailing, or another service not performed entirely within Print-Tech, the minimum information and files necessary to complete that work may be provided to an authorized production provider.

Customer information supplied to a production provider must not be used by that provider to market independently to the customer or the individuals identified in the files.

11.5 Professional advisers

Information may be provided where reasonably necessary to accountants, auditors, insurers, legal advisers, or other professional advisers who assist Print-Tech with legitimate business, regulatory, or legal matters.

11.6 Government and legal authorities

Print-Tech may disclose information where it reasonably believes disclosure is:

  • Required by law;
  • Required by a court order, warrant, or lawful demand;
  • Necessary to investigate fraud or criminal activity;
  • Necessary to protect a person’s safety;
  • Necessary to protect Print-Tech’s legal rights; or
  • Otherwise authorized by applicable privacy law.

Print-Tech provides only the information reasonably necessary for the applicable purpose.

12. Customer mailing lists and variable data

Some printing projects may contain mailing lists, customer databases, employee information, membership information, personalized content, or other information concerning individuals.

For these projects:

  • The customer remains responsible for having lawful authority to collect and provide the information;
  • Print-Tech processes the information only to complete the authorized project;
  • Print-Tech does not add recipients from customer files to its own marketing list;
  • Print-Tech does not contact recipients for unrelated purposes;
  • Print-Tech does not sell or rent the list;
  • Print-Tech does not reuse the list for another customer; and
  • Access is limited to personnel and service providers who reasonably require it to complete the project.

The customer should provide only the information necessary for the project and should use an appropriate secure transfer method for sensitive files.

Mailing and variable-data files may be deleted or securely rendered inaccessible after the project and any reasonable quality-control, dispute, backup, or legal-retention period has ended.

13. Marketing communications to existing clients

Print-Tech does not purchase marketing lists and does not sell or share its client list with outside marketers.

Print-Tech may send occasional commercial email messages to existing clients only where:

  • The recipient has expressly agreed to receive them;
  • An existing business relationship permits the communication;
  • Another lawful basis for the communication exists; and
  • The recipient has not unsubscribed.

Marketing communications may include information about:

  • Printing services;
  • New products;
  • Seasonal printing needs;
  • Special offers;
  • Customer discounts;
  • Production capabilities;
  • Service updates; and
  • Other Print-Tech products or services reasonably relevant to the client.

Marketing communications will identify Print-Tech and provide contact information and a working method to unsubscribe.

A recipient may unsubscribe:

  • By using the unsubscribe link in the message;
  • By replying with an unsubscribe request; or
  • By contacting Print-Tech using the information at the end of this Policy.

Print-Tech will process an unsubscribe request as soon as reasonably practicable and no later than the period required by law.

An unsubscribe request applies to promotional messages. Print-Tech may continue to send non-promotional communications necessary to:

  • Respond to an inquiry;
  • Provide a quotation;
  • Send a proof;
  • Process an order;
  • Confirm payment;
  • Provide production or delivery information;
  • Address a customer-service matter;
  • Provide a safety or security notice; or
  • Comply with legal requirements.

Print-Tech may retain a limited suppression record containing the email address and unsubscribe status to ensure that the request continues to be respected.

14. International processing

Print-Tech operates in Canada and seeks to use reputable service providers.

Some service providers, data centres, backup systems, email systems, or technology providers may process or store information outside Ontario or outside Canada.

When information is processed in another jurisdiction:

  • It may be subject to the laws of that jurisdiction;
  • Courts, law-enforcement agencies, or government authorities in that jurisdiction may have lawful access to it; and
  • The service provider remains responsible for protecting it according to its contractual and legal obligations.

Print-Tech limits the information supplied to service providers to what is reasonably necessary for the applicable service.

15. Retention of personal information

Print-Tech retains personal information only for as long as reasonably necessary to:

  • Complete the purpose for which it was collected;
  • Maintain an active customer relationship;
  • Produce authorized repeat orders;
  • Provide customer service;
  • Resolve complaints or disputes;
  • Meet accounting and taxation requirements;
  • Prevent fraud;
  • Enforce agreements;
  • Meet insurance requirements; and
  • Comply with applicable law.

Retention periods may differ according to the type of information.

For example:

  • Quotations that do not become orders may be retained for a reasonable follow-up and business-record period;
  • Order and invoice records may be retained for the period required for accounting, taxation, warranty, legal, and dispute purposes;
  • Artwork may be retained temporarily for production or repeat orders but is not guaranteed to be retained permanently;
  • Mailing lists and variable-data files may be deleted after the project and any necessary quality-control, backup, or dispute period;
  • Security logs may be retained for a reasonable security and investigation period;
  • Marketing consent and unsubscribe records may be retained as necessary to demonstrate and honour communication preferences; and
  • Moneris retains payment information under its own legal, contractual, and security requirements.

When information is no longer reasonably required, Print-Tech may:

  • Securely delete it;
  • Destroy physical copies;
  • Remove personal identifiers;
  • Anonymize it; or
  • Allow it to be overwritten through established backup cycles.

Customers should maintain their own permanent copies of artwork and order files. Print-Tech is not a permanent archival or file-storage service.

16. Accuracy of information

Print-Tech makes reasonable efforts to keep personal information accurate, complete, and current for the purposes for which it is used.

Customers are responsible for advising Print-Tech of relevant changes to:

  • Contact names;
  • Telephone numbers;
  • Email addresses;
  • Billing addresses;
  • Delivery addresses;
  • Company information; and
  • Marketing preferences.

Print-Tech may rely on the most recent information supplied by the customer.

17. Safeguards

Print-Tech uses reasonable physical, administrative, and technical safeguards appropriate to the sensitivity and amount of information being protected.

Safeguards may include:

  • Restricted access to customer information;
  • Password-protected systems;
  • Secure payment processing through Moneris;
  • Website encryption where implemented;
  • Antivirus and security tools;
  • Software and system updates;
  • Secure disposal of records;
  • Employee confidentiality requirements;
  • Backup and recovery procedures;
  • Fraud-prevention controls;
  • Physical security for business records; and
  • Limiting access to personnel who reasonably need the information.

Payment-card information is protected through the Moneris payment environment and is not stored on the Print-Tech Website.

No electronic transmission, email system, website, or storage method can be guaranteed to be entirely secure. Print-Tech will nevertheless use reasonable safeguards and respond appropriately to suspected security incidents.

18. Privacy and security incidents

If Print-Tech becomes aware of unauthorized access, use, loss, or disclosure of personal information, it will take reasonable steps appropriate to the circumstances, which may include:

  • Containing the incident;
  • Investigating what occurred;
  • Identifying the affected information;
  • Correcting security weaknesses;
  • Consulting affected service providers;
  • Preserving required records;
  • Assessing the risk to affected individuals;
  • Notifying affected individuals where required; and
  • Reporting the incident to the appropriate privacy regulator or other authority where required by law.

Customers who believe that information submitted to Print-Tech has been compromised should contact the Privacy Officer promptly.

19. Access to personal information

Subject to applicable legal exceptions, you may request:

  • Confirmation of whether Print-Tech holds personal information about you;
  • Information about how it has been used;
  • Information about the types of parties to which it has been disclosed;
  • Access to the personal information; and
  • Correction of inaccurate or incomplete information.

Requests must be made in writing to the Privacy Officer using the contact information below.

To protect privacy, Print-Tech may require sufficient information to verify:

  • Your identity;
  • Your authority to make the request; and
  • The records to which the request relates.

Print-Tech may be unable to provide certain information where disclosure would:

  • Reveal personal information about another person;
  • Reveal confidential commercial information;
  • Violate legal privilege;
  • Interfere with an investigation;
  • Create a serious safety or security concern; or
  • Be prohibited by law.

Where access is refused, Print-Tech will provide an explanation where required by law.

20. Correcting information

If you believe that personal information held by Print-Tech is inaccurate or incomplete, you may request a correction.

Where Print-Tech agrees that a correction is appropriate, it will amend the applicable records within a reasonable period.

Where Print-Tech does not agree that a record should be changed, it may note the requested correction or disagreement where appropriate.

21. Withdrawing consent

You may withdraw consent to an optional collection or use by contacting the Privacy Officer.

Withdrawal may not apply where:

  • Information is necessary to complete an existing order;
  • A transaction has already occurred;
  • Retention is legally required;
  • Information is needed to resolve a dispute;
  • Information is needed to prevent fraud;
  • Contractual restrictions apply; or
  • Applicable law otherwise permits continued use or retention.

Print-Tech will explain material consequences of withdrawing consent where appropriate.

22. Children and minors

The Website and Print-Tech’s commercial printing services are intended primarily for businesses and adults capable of entering into binding transactions.

Print-Tech does not knowingly solicit personal information from children for independent commercial transactions.

Where a person has not reached the age of majority, an order should be placed or approved by a parent, guardian, or other legally authorized adult.

If Print-Tech learns that it collected personal information from a child without appropriate authorization, it will take reasonable steps to delete or otherwise address the information.

23. External websites

The Website may contain links to websites or services operated by other organizations, including Moneris, delivery providers, or social-media services.

Print-Tech does not control the privacy or security practices of an external website merely because the Website links to it.

You should review the privacy policy of an external service before supplying personal information to that service.

24. Changes to this Privacy Policy

Print-Tech may update this Privacy Policy from time to time to reflect:

  • Changes to its Website;
  • New products or services;
  • Changes to service providers;
  • Changes to business practices;
  • Security developments; or
  • Changes in legal requirements.

The updated Policy will be posted on the Website with a revised effective date.

Where a proposed change would materially alter the purpose for which previously collected personal information is used or disclosed, Print-Tech will provide additional notice or obtain consent where required by law.

Continued use of the Website after an ordinary Policy update constitutes acknowledgement of the updated Policy. It does not, by itself, constitute consent to a materially new use where separate consent is legally required.

25. Questions, complaints, and privacy requests

Print-Tech has designated a Privacy Officer who is accountable for questions and concerns involving personal information.

To request access, request a correction, withdraw marketing consent, report a privacy concern, or ask a question about this Policy, contact:

Please use “Privacy Request” in the email subject line and provide enough information for Print-Tech to identify and respond to the request.

Print-Tech will investigate privacy complaints fairly and within a reasonable period. If a complaint is found to be justified, Print-Tech will take reasonable corrective measures.

Nothing in this Policy prevents an individual from contacting the Office of the Privacy Commissioner of Canada or another applicable privacy regulator.

26. Governing privacy requirements

Print-Tech handles personal information in accordance with applicable Canadian privacy and electronic-communications laws.

Where this Policy conflicts with a mandatory legal requirement, the mandatory legal requirement will apply to the extent of the conflict.
